Declining a lead well is worth more than quoting everything
October 17, 2026
Quoting is expensive. Estimating a progressive die job properly takes hours of engineering time, and those hours come out of the same pool that supports the work you already have. A shop that quotes everything is not maximising its chances; it is spreading its best thinking thinner across worse odds.
Read the preview in two minutes
Before any engineering time goes in, check four things against your own registration:
- Tonnage and die size. If the part needs a press you do not have, stop here.
- Die type. A transfer die job in a progressive shop is not a stretch, it is a different process.
- Material and gauge. Coated, stainless and high strength steels behave differently on a line set up for mild steel.
- Volume band. A 2 million piece a year program in a short run shop, or a 5,000 piece order in a high volume shop, is a poor use of the line either way.
If any of those fail, decline. The rest of the preview does not matter.
Five signs it is a bad fit even when it looks possible
- Tooling expectation is unstated or unrealistic. A buyer who has not budgeted for a die, or expects it amortised into a small first order, is usually early in their process rather than ready to place work.
- The timeline does not fit die build. Progressive tooling takes the time it takes. A required date that assumes tooling appears in two weeks means somebody has not been told the truth yet.
- The quality requirement needs a system you do not have. PPAP level 3 and IATF 16949 are not paperwork you improvise after winning the job.
- Secondary operations you would have to invent. Managing one outside process is normal. Managing four for the first time on a new customer’s part is a programme risk you are absorbing for free.
- Drawing with no tolerances, or tolerances everywhere. Both mean the part is not yet defined, and the quote you give will be compared against someone who guessed more cheaply.
How to decline so it works for you
A decline is a short message, sent fast. Speed is the whole value; a no on day one is a gift to the buyer, a no on day nine is a cost.
Include three things:
- What specifically does not fit. “Needs 600 ton, our largest is 400” is useful. “Not a fit at this time” is not.
- Whether it is capability or capacity. Capacity clears next quarter. Capability does not. This one word changes what gets sent to you later.
- What you would want instead. One line. “Progressive work in mild steel, 100k plus, 4 mm and under” keeps you in mind for the right enquiry.
That message takes ninety seconds and it does more for your position than a rushed quote on the wrong part.
Why this is not lost revenue
Every hour you do not spend estimating a job you would not win, or would win and then regret, goes back into the jobs where you are genuinely the best answer. Shops that decline clearly tend to quote fewer jobs and win a higher share of them, because the quotes they do send are thought through.
It also protects the thing that is hardest to rebuild. A shop that takes work outside its capability and delivers late has a delivery problem on its record; the buyer does not file it under “ambitious”.
If a preview clearly misrepresented the part, material or volume, tell us and we credit the lead. That only works if the capability we hold for you is current, so send changes to partner@stampingvendor.com as they happen.
Frequently asked questions
Does declining leads affect what I get shown later?
No. Declining is signal, not a penalty. A shop that passes on poor fits and takes the good ones is easier to match than one that takes everything and quotes slowly.
What if I could run the part but not competitively?
Say that. A short note that the part is runnable but outside your sweet spot is useful to the buyer and to us, and it often brings back a better matched enquiry later.
Should I decline if I am just at capacity?
Yes, and say it is capacity rather than capability. Capacity clears; capability does not. The distinction changes what we send you next month.
